Track cash purchases—how it works

QuickBooks Online makes it easy to keep track of cash purchases. When you spend cash, QuickBooks Online helps you track the following information about the purchase:

  • Reference Number: You can enter a transaction identifying number from the purchase receipt.
  • Date: QuickBooks Online automatically inserts today's date, or you can easily change it to match the date of purchase.
  • Purchased From: You can enter a vendor (person or business), or leave this field empty.
  • Amount: This is where you enter the purchase amount. If the transaction was complicated, QuickBooks Online can help you with the math.
  • Memo: As an option, you can write a memo which appears in the register and on reports that include this purchase.
  • Account: For tracking purposes, this is where you designate the account that this purchase belongs to.
  • Customer: If the cash expense was directly related to a customer (such as on a specific customer project) you can choose a customer here. This helps you track how much you're spending by customer, and allows you to bill the customer for the expense.
  • Billable: Check this box if you want to have this cash purchase billed to the customer.

If your business operates from multiple locations, you can track the purchase by location.*
